Donor database setup and cleanup

We set up Salesforce Nonprofit Cloud or clean up your current database, so every donor record is complete and trusted.

What you get
  • Merged duplicates and full giving history
  • Households and relationships set up correctly
  • Clear rules for data entry
Salesforce first.
Not Salesforce only.

We work across enterprise CRMs, most often Salesforce, plus HubSpot, Monday, and custom-built systems. If your team already has a tool, we build there.

Check your donor data in 15 minutes.

Answer five questions. See where you stand.

1Can you list every donor who gave last year but not this year?
2Is every gift thanked within 48 hours?
3Could you prepare your next board report without a spreadsheet?
4If your development director left, would their donor relationships stay with you?
5Do you know your donor retention rate?

Ways to work with us.

Start with a diagnostic. Decide what's next from there.

2 weeksStart here

Diagnostic

We review your tools, data, and process, talk with your team, and fix the first few problems right away.

A written assessment and a prioritized plan.
Usually 2 to 4 monthsNext step

Build

We set up the systems in the plan with your team, train people as we go, and launch in stages.

Working systems, documentation, and a trained team.
MonthlyOptional

Ongoing support

We stay on to handle changes, add improvements, and keep the team using what we built.

A partner on call, without hiring a full-time admin.

What the work looks like.

Example
1 hour
to build the board report, down from 3 days
Youth services nonprofit, $3M budget
BeforeDonor data spread across a spreadsheet, an event platform, and an old database.
What we didMoved everything into Salesforce Nonprofit Cloud, merged duplicates, and connected the event platform.
Example
+12 pts
donor retention in year one
Health charity, $8M budget
BeforeMajor gift officers tracked prospects in their own notes, so relationships left with staff.
What we didBuilt a major donor process in Salesforce and trained the development team to use it.

Common questions.

Is Salesforce affordable for a nonprofit?

Often, yes. Salesforce offers donated and discounted licenses to eligible nonprofits. We'll help you check what applies to you.

Do we have to use Salesforce?

No. It's where we work most, but we also build in Monday and other platforms. We'll help you pick what fits your team and budget.

Our staff is stretched thin. How much time does this take?

We keep it light: a few hours a week from one project lead, plus short sessions with the people who'll use the system.

How soon will we see results?

In the first two weeks. The diagnostic always includes fixes your team will notice right away.

What happens when you leave?

Your staff owns everything: the system, the documentation, and the know-how to run it. Ongoing support is optional.

Can you help us use AI?

Yes. Most AI tools struggle because donor data is messy or spread across systems. We clean it up and connect it first, then turn on AI features in the tools you already have.
